a Day Care Everyone knows that big businesses use massive spreadsheets to keep track of their profitability and other accounting. When I worked for Blockbuster Video. We had huge reports that printed out for every store that detailed numbers from the store’s bottom line to tiny details like how many refunds were given for non-movie items.
Today, I help a friend of mine (Hi, Donna!) run a small day care in her home, and to my surprise. I use Excel even more at that small day care than I ever did working for a huge corporation. Here are the top 10 things that I set up Excel for in my friend’s day care:
Scheduling a Day Care –
Pretty basic — you need to know that you’ll always have at least two adults with the children at all times, and my friend’s day care goes a step further and makes sure that one of those two is a female at all times as well.
Inventory –
Even a small in-home daycare goes through a startling amount (and variety!) of products on a daily basis.
Invoices –
Donna uses several contactors to do things like collect and clean diapers, wash the windows. And keep the playground in good repair. Excel gives her a clean and professional template for the invoices she sends to her contractors.
Projecting Tuition a Day Care –
Excel’s ability to take a history of various numbers, analyze trends, and project what they will likely look like in the future has been invaluable to Donna. She takes all of her past costs, projects them forward. And gets an idea of what her total future costs are likely to be. Which in turn allows her to project what her tuitions need to be in order for her to satisfy her budget.

Billing a Day Care –
Email alerts to the parents, much like those that the Inventory spreadsheet sends to Donna herself, are a perfect way to make sure that everyone knows when tuition is due or when other special expenses need to be paid.
Immunizations –
I also set up a tracking sheet for all of Donna’s children so that she can prove to anyone who asks that all of her kids have age-appropriate vaccinations. Or if they don’t, exactly which ones have been skipped and why.
Attendance Tracking a Day Care –
Child and Family Records Of course, Donna needs to know everything about her clients.
Meal Management a Day Care –
If you’ve ever tried to feed a family, you know how hard it can be to plan out a variety of nutritionally complete meals in advance. But with a little help from an FDA database. I was able to put together an Excel program that let Donna plan out healthy meals easily. Weeks in advance.
Caregiver Records –
Knowing about your employees is almost more important in the day care business than knowing about your parents and children. Donna and I created a spreadsheet similar to the Child and Family Records sheet. But included everything that an online background check could tell us as well as several details that she asked about in an interview. The result was easy-to-retrieve and printable proof of each caregiver’s qualifications.
Excel makes Donna’s job a heck of a lot easier every day. She’s often told me she wouldn’t be in business without my help. I just laugh every time I hear that, because she has no idea how easy it is to learn.
